MESSAGE FROM THE CHAIR

 

I wish to remind you of our annual meeting (see below for details) to be held in Oak Ridge, Tennessee, on November 11 - 13.  This will be an exciting meeting with a large number of contributed abstracts that have been accepted.  Tours of some of the new facilities at the Oak Ridge National Laboratory will take place during the conference.  The Society of Physics Students will also have a session on Saturday during the meeting.  We hope many of you can come to Oak Ridge for the SESAPS meeting.

 

In addition, I ask you, as a member of SESAPS, to encourage non-members to join.  There is no cost to an APS member to join SESAPS, and it is very easy to do.  One can simply go to the SESAPS web page (http://www.phy.davidson.edu/sesaps/) and click on the link “Application to Join Units.”  There are several advantages to being a member of SESAPS, and no disadvantages.  There are over 1800 members of SESAPS out of approximately 5000 members of the APS in the Southeast.  Membership is a way to get everyone to become more actively involved in issues that affect all of us in our region.  I hope all SESAPS members will encourage their colleagues to become members of our regional society.

ELECTION

 

For the first time the election of new SESAPS officers for 2005 will be held electronically, following the lead of the American Physical Society in converting to electronic elections at all levels.  This process will be initiated in middle October by an e-mail message to each SESAPS member giving instructions on how to access the APS web site and vote for the nominees for SESAPS vice chair, secretary, and executive committee.  The current SESAPS executive committee has taken suggestions for these elections and decided on a slate of candidates that the membership will vote upon in middle October.  Results of the election will be announced at the November meeting in Oak Ridge.

 

ANNUAL MEETING INFORMATION

 

The 71st Annual Meeting of the Southeastern Section of the American Physical Society (SESAPS) will be held November 11-13, 2004 (Thursday-Saturday), in Oak Ridge, Tennessee.  Our host for this meeting will be the Oak Ridge National Laboratory.  The local arrangements committee is chaired by

Directions to the hotel can be found at http://doubletreeoakridge.com/location.html.  Rooms cost $69/night single and $79/night double.  You must book before OCTOBER 10 and mention “SESAPS group.” The conference banquet will be on Friday evening.

 

A tour of the Spallation Neutron Source construction site at Oak Ridge National Laboratory (ORNL) will be offered to the meeting attendees late Thursday afternoon.  Tour participants that are U.S. citizens must request an ORNL visitor pass by October 17 online at the meeting web site.   Those that are non-citizens must request a visitor pass much earlier due to government requirements; please see the conference web site concerning the needed lead time.

 

MEETING FACILITIES

 

The scientific sessions will take place in the recently renovated Pollard Technology Conference Center (http://www.pollardcenter.org/), located on the campus of Oak Ridge Associated Universities (http://www.orau.org/) in Oak Ridge, Tennessee. The Pollard Center is within walking distance of the conference hotel.  Meeting rooms are all equipped with LCD projectors and speakers are strongly encouraged to use electronic projection.  You may use your laptop for driving the projector, or you may provide your electronic file to Dr. Yu or her designate on a portable drive or CD at least one hour before your session begins.  It is preferred for speakers to use the conference computer for presentation.  Questions about the program should be directed to Professor Howell.

 

The Pollard Conference Center is equipped with wireless access to the internet.  Any laptop with wireless capability will be able to use this feature.

 

PROGRAM

 

The scientific program will begin on Thursday, November 11, with invited sessions on the Spallation Neutron Source, upgraded and new major research facilities in the southeast, and astrophysics.  The Friday meeting will include invited sessions on nanoscience, nuclear physics, neutrinos, and magnetism.  The SESAPS business meeting will be held on Friday at 5:30-6:00 p.m., and the banquet will start at 7:30 p.m.  The topic for the banquet presentation is "Energy Policies for the U.S."  The meeting will conclude on Saturday morning with invited sessions on physics education, atomic physics and optics, and condensed matter, in addition to a special SPS contributed session.

 

SPS SESSION

 

The Society of Physics Students (SPS) chapter at the University of Tennessee is organizing a contributed session and a poster session for undergraduate students.  These SPS sessions will be held on Saturday, November 13.  Undergraduate students are encouraged to submit abstracts for presentation in the SPS sessions. Abstracts for the SPS sessions should be emailed to Professor James Parks (jeparks@utk.edu) at the University of Tennessee. The deadline for SPS session abstract submission is October 8, 2004.  All students who present at one of the SPS sessions are eligible for the Marsh White Award, which will be given to the best undergraduate presenter.  Undergraduate students who present at the regular SESAPS sessions will not be eligible for this award.

 

Undergraduate students who present only in the SPS sessions are not required to register for the SESAPS meeting. These students are not eligible for the SESAPS student travel grant.

  • Deadline: Friday, October 8, 2004
  • Abstract file format: MS Word
  • Abstract style: use the template defined on the meeting web site (http://www.phy.ornl.gov/sesaps04/program.shtml - 2)
  • Presentation type: oral or poster - should be specified at the bottom of the abstract

 

MEETING REGISTRATION FEES

 

Registration will be $40 for SESAPS and other APS members, $55 for nonmembers, $5 for retired physicists, and $20 for graduate students.  Undergraduate students register for free.  Awardees and banquet speakers will not pay the registration or banquet fee. 

 

TRAVEL SUPPORT FOR STUDENTS

 

Students will be pleased to learn that modest travel grants will again be available for those presenting research papers at the SESAPS sessions.  SPS students giving papers in the SPS sessions only are not eligible for travel support.  An application is included below.

The deadline for nominations for SESAPS awards given each year at the fall meeting has been extended to September 15.  The Beams, Pegram, and Slack awards are given each year for contributions in research, teaching, and service, respectively, on behalf of physics in the southeast.  Nominations for the Jesse Beams Award for Outstanding Research should be sent to

Four copies of each nomination, consisting of a nominating letter and up to three supporting letters (a maximum of two pages each), should be sent. No other supporting documents are needed.  The nominator is also asked to send an e mail to the Chair (riedingerl@ornl.gov) and Vice Chair (avery@phys.ufl.edu) of the Section informing them of the submission.

 

AMENDMENT OF BYLAWS

 

Because of changes in the APS Constitution and how Sections are represented, the Section bylaws must be amended.  Under the new rotating schedule of Section Councillors, the Southeastern Section has had a Councillor from 2001-2004.  The next Southeastern Section Councillor will serve from 2017-2020.  The following sections in our Bylaws must be changed.  As specified in the Bylaws, this newsletter is the distribution of the changes in the Bylaws.  These changes will be discussed at the Business Meeting at Oak Ridge and will be voted upon during the election in 2005.  Strikethrough italicized portions will be deleted and italicized portions will be added.

ARTICLE VI – SECTION OFFICERS,  AND SECTION COUNCILLOR ADVISOR AND COUNCIL OBSERVER

  1. Duties of the Section Councillor Advisor. When it is the section’s turn, in the rotation among sections as established by The Council of The Society, a Section Councillor will be elected as prescribed below.  The Section Councillor The Section Council Advisor shall serve as liaison between the Council of the Society and the Executive Committee of the Section. Following each Council meeting, the Section Councillor Advisor shall report to the Chair and the Secretary/Treasurer regarding Council actions that affect the status and operations of the Section. Reports shall be made to the entire Executive Committee during their regularly scheduled meetings.
  2. Council Observer.  During years in which the Section does not have an elected Councillor, the Executive Committee will appoint a Council Observer.  This person will attend Council meetings and will perform the duties described in Article VI.7 of these Bylaws.

ARTICLE VII—ELECTION AND TENURE OF THE OFFICERS, EXECUTIVE COMMITTEE MEMBERS, AND SECTION COUNCILLOR ADVISOR

  1. Nomination and Election of the Section Councillor Advisor. During the final year of the term of a Section Council Advisor, the Secretary shall determine from the Executive Secretary if the terminating Section Council Advisor is to continue. Such determination shall be made by the Executive Secretary based on Section membership according to rules specified in the Constitution and Bylaws. If the position is to continue, the Executive Committee shall nominate at least two candidates for the position. The Secretary shall inform the Section members of the candidates along with the regular ballot for officers. The Treasurer shall include these election results in his report, and the Secretary shall provide notification to the general membership.  Two years prior to the first year of the Section’s turn in the rotation established by the Council, the Section will elect a Section Councillor.  The nominating Committee shall nominate at least two candidates for this office, following the same procedure as that for election of officers of the Section and Members-at-large of the Executive committee.  The Section Councillor shall serve for one year as a non-voting Council Observer and then for a term of four years as a voting member of the Council, except when a different term is specified by the Council.

NOMINATIONS FOR SECTION OFFICERS

 

Nominations for members of the Executive Committee are encouraged. Each year the vice chair and one member of the executive committee are elected. The vice chair serves for three years (vice chair, chair elect, and chair) and the executive committee member serves a four-year term. The secretary and treasurer serve five-year terms. You may nominate yourself or someone else. Nominees must be APS and SESAPS members according to the bylaws. Send nominations to Professor Larry Cain, the SESAPS treasurer (lacain@davidson.edu).
